Privacy policy

CYOPS IT Inc. ("CYOPS IT", "we", "us") is a Florida company. This policy explains what we collect through www.cyopsit.com, how we use and protect it, and the choices you have. We keep it short and in plain English.
What this policy covers
This policy covers our website and the enquiries you send us through it, by email or by phone. Information we handle while providing IT services to our clients (for example, data on the systems we manage) is covered by our service agreement with that client, not by this policy.
What we collect
- What you send us. When you use our contact or assessment form, email us or call us: your name, company, work email, phone number, number of employees, what's prompting your enquiry, and your message.
- Basic visit data. Like any website, our hosting provider records technical details when a page is requested: IP address, browser and device type, the page requested, the referring page and the time. We use this to keep the site running and secure.
- Page counts. We use Cloudflare Web Analytics to count visits. It does not use cookies, does not build a profile of you and does not follow you to other websites.
Please don't send sensitive information through the website, such as Social Security numbers, bank or card numbers, health information, or passwords. If we need anything like that to help you, we'll arrange a secure way to share it.
Cookies, tracking and "Do Not Track"
Our own site sets no cookies and uses no advertising or cross-site tracking. We don't allow third parties to collect information about your activity on our site for advertising.
Two parts of the page are loaded from other providers. Our contact form is a Microsoft Forms form, and Microsoft may set its own cookies in it under the Microsoft Privacy Statement. Some photos are loaded from Unsplash (images.unsplash.com), which receives your IP address and browser details when your browser requests them, as any web server does.
Because we don't track you across websites, our site works the same way whether or not your browser sends a "Do Not Track" or Global Privacy Control signal.
How we use it
- To reply to you and provide the information, assessment or services you ask for.
- To keep a record of our conversation in our business systems.
- To keep the website and our systems secure, and to find and fix problems.
- To meet our legal and accounting obligations.
We don't add you to a mailing list unless you ask us to, and every marketing email has an unsubscribe link.
Who we share it with
We don't sell your information, and we don't share it for targeted advertising. We share it only with companies that help us run our business, and only so they can do that work for us:
- Microsoft (Forms, Power Automate and Microsoft 365 email), to receive and route your enquiry.
- Kaseya (Autotask), the system where we keep client and enquiry records.
- Vercel, which hosts this website, and Cloudflare, which provides our page counts and network services.
We may also disclose information if the law requires it, to protect our rights or someone's safety, or as part of a sale or transfer of our business, in which case this policy would continue to apply.
How we protect it
Security is our job. As Florida law requires, we take reasonable measures to protect personal information, including encrypted connections (HTTPS), multi-factor authentication and limited access on the systems that hold it, and keeping those systems patched and monitored. When we no longer need records, we delete or destroy them so they can't be read.
If a breach ever affects your personal information, we will notify you as quickly as we can and within the time Florida law sets (no later than 30 days after we determine a breach occurred), and we will notify the Florida Department of Legal Affairs when the law requires it.
How long we keep it
Enquiries that don't become client work are kept for up to two years, then deleted. Client records are kept for as long as we work together and afterward for as long as tax and legal rules require.
Your choices
Wherever you live, you can ask us to tell you what we hold about you, correct it, delete it, or stop contacting you. Email info@cyopsit.com, call (800) 619‑5494 or write to CYOPS IT Inc., 2800 NW 25th Ln, Cape Coral, FL 33993. We may need to confirm it's you before we act, and we'll reply within 45 days. We may keep what the law requires us to keep.
Children
Our website and services are for businesses. They are not directed to children, and we don't knowingly collect information from anyone under 13. If you think a child has sent us information, contact us and we'll delete it.
Changes to this policy
If we change this policy, we'll post the new version here and update the date at the top. If a change is significant, we'll say so at the top of the page.
